Job Title: Customer
Service Representative
Description: The
Customer Service Representative serves as the primary contact for external and
internal customers. The CSR monitors incoming jobs from start to finish meeting
quality standards and deadlines.
Primary Roles and Responsibilities:
• Act as
internal advocate for the Account Executive with customers
• Prepare
production schedule request according to estimate and forward to Scheduling
• Enter job
into Production
• Receive
proofs from Pre-press, inspect for accuracy
• Traffic
and approve proofs to and from customer
• Respond
appropriately and timely to customer and AE inquiries
• Receive
specifications for prospective projects, prepare spec sheets and communicate to
Estimating
• Provide
pricing to customers on prospective projects once estimates are completed, as
requested by Account Executive
• Receive
customer materials for new projects, obtaining a new estimate in the event
deviations from quoted specifications exist
• Prepare
electronic job ticket defining general production instructions and customer expectations
regarding delivery
• Prepare
job envelope containing the job ticket, sample, quality checklist and all
materials needed for production
• Maintain
an active job file for each project in progress, containing a copy of the job
ticket, estimate, schedule sheet and any communication with the AE or customer
pertaining to the job in progress
• Attend
daily production meetings to exchange information with production management
regarding jobs in progress
• Monitor
project progress in Production and communicate to AE any deviations which may
cause a delay in meeting customer delivery expectations
• Prepare
customer Alteration/Change Order in the event specifications or content changes
after entry into production, relay cost of change to customer for approval
prior to change being made
• Inform
production of delays in return of proofs from customer
• Alert
customer of on-press approval time
• Act as
host for visiting customers in the absence of the AE
• Ensure
samples of completed projects are sent to customer
• Serve as
a backup to other CSRs when needed
• Follow
and comply with all safety and work rules and regulations
• Other
duties as assigned
• Consult
with department managers as needed regarding job specifications and customer
expectations
• Receive
completed job envelopes from Accounting for billing. Prepare billing based on
quoted price, overs delivered, alterations, etc. Forward to AE or return to
Accounting as appropriate.
Marginal Job Functions:
• Meet with
customers off-site as required.
Qualifications and Skills:
• Bachelor’s
Degree in related field preferred or equivalent professional experience
• Excellent
written and verbal communication skills
• Proficient
in Microsoft Office, especially Excel
• Detail
oriented, with sufficient organizational and math skills
• Good
production ideology with problem solving capabilities
• Flexibility
in order to adjust to daily needs
• Positive
“can do” customer focus and attitude
• Minimum
two years in a customer service/sales role, preferably in the graphic arts or
printing/packaging industry
